JOB DESCRIPTION
1. Bookkeeping
- Create quotes/invoices to send to the company’s leads & clients
- Send invoices/bills via email to each client
- Follow up & receive payments
- Create & send receipts to clients who have completed payments
- Categorize expenses from bank accounts and/or credit cards and make sure there is a receipt attached for each one
- Other basic bookkeeping tasks – Don’t include professional bookkeeping or software expertise
- Process and follow up on the accounts payable checks.
- Several checks are entered weekly, those will be created by somebody else internally and approved for printing in there, but the VA would be entering checks weekly, and then following up on those accounts payable.
- Maintain internal communication via email with the rest of the team.
2. Other Bookkeeping Tasks:
- Data Entry: Recording financial transactions, such as sales, expenses, invoices, and receipts, into the company's accounting software or spreadsheets.
- Accounts Payable and Receivable: Managing and reconciling invoices, tracking payments, and ensuring timely payment of bills and invoices. Also, recording incoming payments and keeping track of customer accounts.
- Bank Reconciliation: Comparing and reconciling the company's financial records with bank statements to ensure accuracy and identify discrepancies.
- Expense Tracking: Monitoring and categorizing company expenses, including travel costs, supplies, and other operational expenses.
- Payroll Support: Assisting with payroll processing by tracking employee hours, calculating wages, and ensuring accurate deductions and withholdings.
- Financial Reporting: Generating basic financial reports such as balance sheets, income statements, and cash flow statements to provide insights into the company's financial health.
- Inventory Management: Keeping track of inventory levels and reconciling physical counts with recorded inventory to maintain accurate stock records.
- Data Analysis: Assisting in analyzing financial data to identify trends, patterns, and opportunities for cost-saving or revenue improvement.
- Record Maintenance: Organizing and archiving financial documents, receipts, and other records in a systematic and easily retrievable manner.
- Communication: Coordinating with other team members, departments, vendors, and clients to gather necessary financial information and resolve discrepancies.
- Software Management: Familiarity with accounting software and tools, as well as the ability to learn and adapt to new software systems.
- Compliance and Regulations: Ensuring that financial records and processes adhere to relevant laws, regulations, and accounting standards.
- General Administrative Support: Assisting with administrative tasks such as answering emails, managing calendars, and providing general support to the finance team.
QUALIFICATIONS:
Must have experience in using Quickbooks
At least 2 years experience as a Bookkeeper or similar position
SCHEDULE AND PAY RATE
• Schedule: Monday - Friday - Floating schedule
• Time Zone: Central Time/PH time
• Hours: 10 -20 hours/week
• Open to: The Philippines
• Pay Rate: $4 - 7 /hour
