SCHEDULE AND PAY RATE:

• Schedule: Monday to Thursday from 9:00 am to 2:000 pm 

• Time Zone: Eastern Standard Time

• Hours: 20 hours

• Languages Required: English. Speaking Spanish is a Plus.

Open to: The Philippines, Latin America and The Caribbean.

• Pay Rate: $7/hour

JOB DESCRIPTION

Overview:

We are seeking a highly organized and proactive Administrative Support Virtual Assistant to provide remote administrative and customer service support for a chain of medical offices.  The ideal candidate will assist with answering emails and faxes, scheduling patients, creating excel tracking sheets, and generating reports from our electronic health record for a busy, multisite medical business.  Client service, responsiveness, and attention to detail are key requirements.

Responsibilities:

  1. Client Communication:

  • Answer and manage emails and faxes in a timely and professional manner.

  • Handle scheduling requests, including booking, rescheduling, cancellations, and confirmations via email, text and phone.

  • Ensure client satisfaction and resolve inquiries or issues effectively.

  1. Administrative Support:

  • Maintain and update demographic and other relevant information in the company’s electronic health record / scheduling system with accuracy

  • Organize and manage spreadsheets to track client information and office statistics

  • Coordinate with front desk personnel, clinicians, and company management to resolve client issues.

  1. Coordination:

  • Coordinate with team members or other stakeholders to ensure workflow efficiency.

  • Provide ad hoc administrative support to the company management as needed.

Requirements:

  • Ability to multitask and manage time effectively 

  • Outgoing and vibrant personality providing concierge level service. 

  • Quick learner that’s able to work independently

  • Previous relevant experience, excellent computer skills in Microsoft Suite, including email

  • Preferably, 1+ years of experience working in a healthcare administrative setting Preferably,

  • 1+ years of experience in electronic health records software 

  • Bilingual (English and Spanish) a plus
