SCHEDULE AND PAY RATE

•      Schedule: Monday to Friday; 08:00 am to 05:00 pm CST.

•      Time Zone: Central Standard Time

•      Hours: 40 hours/week

•      Languages Required: English and Spanish
•      Location: Open to LATAM

•      Pay Rate: $7.25/hour
*Rates are dependent on your experience, determined by ProtopVA.*


JOB DESCRIPTION

1. Provide administrative support to the executives, including managing calendars, scheduling meetings, and making travel arrangements.

2. Prepare and edit correspondence, communications, presentations, and other documents.

3. Conduct research and compile data to prepare reports and documents as needed.

4. Manage and maintain executives' schedules, appointments, and agendas.

5. Arrange and coordinate meetings and events, including handling logistics and preparing meeting materials.

6. Record, transcribe, and distribute minutes of meetings.

7. Monitor, screen, respond to and distribute incoming communications.

8. Answer and manage incoming calls.

9. Receive and interact with incoming visitors.

10. Liaise with internal staff at all levels.

11. Interact with external clients.

12. Coordinate project-based work.

13. Review operating practices and implement improvements where necessary.


QUALIFICATIONS

- Proven experience as an executive assistant or similar administrative role.

- Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and other office productivity tools.

- Knowledge of office management systems and procedures.

- Sales and HR support skills.

- Basic accounting knowledge specifically QuickBooks and Bookkeeping.

- Excellent time management skills and the ability to prioritize work.

- Attention to detail and problem-solving skills.

- Excellent written and verbal communication skills.

- Strong organizational and planning skills.

- Ability to work independently and as part of a team.

- Discretion and confidentiality.
