SCHEDULE AND PAY RATE

• Schedule: Monday - Friday; 10:00 AM to 6:00 PM EST

• Hours: 40 hours per week

• Time Zone: Eastern Standard Time

• Languages Required: English

•Open to: LATAM only

• Pay Rate: $5-$6/hr

*Rates are dependent on your experience and skills, determined by ProtopVA.*


ABOUT THE COMPANY:

A U.S.-based technology services and training organization helping businesses and individuals embrace digital transformation through IT solutions, cloud services, and workforce development programs.


RESPONSIBILITIES:

1. Executive & Administrative Support:
- Manage executive calendars, appointments, and meetings.

- Prepare agendas, take meeting notes, and track action items.

- Draft and proofread internal and external communications.

- Coordinate travel logistics, events, and conferences.

- Maintain confidential information with discretion.

- Support project coordination and follow-up with internal teams and partners.

- Organize digital files and maintain reporting systems


 2. Grant Writing & Project Support:

- Assist in developing grant proposals and funding applications.

- Research relevant funding opportunities and programs.

- Collaborate with internal teams to collect project and financial information.

- Draft and format proposal content, ensuring clarity and compliance.

- Track submission deadlines, application progress, and reporting obligations.

- Prepare summary reports and updates for executives and funders.


 3. Marketing & Administrative Tasks:

- Assist with content creation and copywriting for marketing materials.

- Support basic social media management and graphic design using Canva.

- Conduct lead generation, list building, and LinkedIn outreach.

- Perform cold calling or client follow-up tasks when needed.

- Help with CRM management (HubSpot) and data entry tasks.


REQUIREMENTS

- 3+ years of experience as an Executive Assistant or VA.

- Excellent English (written & verbal); great communication and phone skills.

- Proficient in Microsoft 365, Teams, Canva, HubSpot, ChatGPT/Copilot.

- Strong writing, research, and organizational skills.

- Creative, proactive, and detail-oriented.

- Able to multitask and manage time effectively in a fast-paced role.
