REQUIREMENTS:

  • Experienced doing similar activities
  • Able to overcome clients objections and schedule appointments
  • Must sound enthusiastic and pleasant on the phone
  • Great customer service skills because will be the voice of the firm
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Ability to maintain confidentiality and professionalism in handling sensitive information.
  • Proven experience in administrative or similar roles.
  • Proficiency in using office software such as Microsoft Office Suite and case management systems.
  • Attention to detail and a high level of accuracy in data entry and documentation.
  • Proactivity

SCHEDULE AND PAY RATE

•      Schedule:  Monday to Friday between 9:00 am - 5:00 pm

•      Time Zone: Central Standard Time

•      Hours: 40 hours/week

•      Open to: Latin America

•      Pay Rate: $6-8 /hr

JOB DESCRIPTION

  1. Client Communication and Follow-Up:

    • Make client calls to provide updates and gather necessary information.

    • Be able to overcome clients’ objections

    • Maintain accurate records of client communications in the database.

    • Coordinate with attorneys to ensure timely responses to client inquiries.

    • Respond to emails and messages on social media platforms, maintaining professionalism and confidentiality.

    • Draft standard email templates for common inquiries to streamline responses.



  1. Manage Incoming Calls:

    • Answer incoming calls in a courteous and professional manner.

    • Direct calls to the appropriate team members or departments.

    • Take detailed messages and relay them accurately to the intended recipients.

    • Screen calls to filter out irrelevant or spam calls.


  1. Administrative and Intake Tasks:

    • Collect and organize relevant information from clients during intake processes.

    • Enter client data accurately into the firm's database or case management system.

    • Assist attorneys in gathering documentation and records necessary for legal proceedings.

    • Ensure compliance with confidentiality and data protection policies during intake procedures.

    • Collaborate with attorneys to identify any additional information required for successful case management.

    • Assist with virtual document management, including organizing, formatting, and proofreading legal documents.

    • Maintain accurate records of client interactions and communications in virtual databases or CRM systems.


  1. Scheduling Appointments:

    • Coordinate schedules and arrange appointments for clients with attorneys.

    • Update calendars and ensure that appointments do not overlap.

    • Send reminders to clients and attorneys to confirm upcoming appointments.

    • Manage appointment cancellations and fill vacant slots with waiting clients.
