SCHEDULE AND PAY RATE
• Schedule: Monday - Friday 8:00 AM - 4:00 PM EST
• Hours: 40 hours per week
• Time Zone: Eastern Standard Time
• Languages Required: English and Spanish
•Open to: Philippines and LATAM
• Pay Rate: $6-$7/hr

RESPONSIBILITIES
1. Communication & Patient Coordination:
- Answer inbound calls promptly and courteously, maintaining a warm and professional tone
- Return calls and respond to patient inquiries received through the AI answering system
- Provide accurate information regarding appointments, treatments, and follow-ups
- Communicate fluently in English and Spanish, depending on patient preference
- Coordinate with medical office staff to confirm appointments and resolve scheduling issues
- Ensure HIPAA compliance and protect patient confidentiality
- Escalate urgent patient concerns or emergencies to the appropriate person in charge
2. Scheduling & EMR Management
- Schedule, confirm, and reschedule appointments using the EMR system
- Verify and update patient information (demographics, insurance, notes, etc.)
- Manage cancellations, no-shows, and reschedules efficiently to minimize downtime
- Prevent double-bookings and maintain accurate provider calendars
- Generate simple reports (e.g., upcoming appointments or cancellations)
- Collaborate with office coordinators to ensure updates are handled promptly
3. Administrative Support
- Maintain patient contact lists, appointment logs, and administrative spreadsheets
- Send appointment reminders, confirmations, and follow-up messages
- Conduct post-appointment follow-ups to ensure satisfaction and gather feedback
- Track and document missed appointments and reschedules
- Support internal communication among doctors, front desk teams, and other staff
- Assist in updating templates, digital files, and databases as needed
REQUIREMENTS
- Fluent in English and Spanish (written and verbal)
- Strong communication and interpersonal skills
- Highly organized, detail-oriented, and reliable
- Comfortable handling a high volume of calls and tasks efficiently
- Proficient with Google Sheets and CRM/EMR systems (training provided)
- Prior experience in healthcare, medical administration, or patient coordination is a plus
- Strong customer service orientation
